Oil & Gas Manpower Management System

The Challenge
A supplier of Oil and Gas manpower services was managing a number of power stations across the UK with their own employees. They were providing a facilities management service to their clients and were planning all of their rosters and manpower on spreadsheets at each location and were finding it extremely difficult to manage multiple sites and multiple employees located on these sites. As a result they were prone to making errors and needed highly skilled admin staff on each location to manage each facility, log manpower, rate and charging details. The difficulty lay in their complex charging mechanisms where each resource on site would be charged at different rates for working in different zones (especially so in Power Stations). Ideally they wanted an automated solution where resources positioned in different facilities could update their hours on a PC interface and the system would make the correct calculations based on the rate chosen for the job. The details would also be uploaded to a central finance facility where all billing information would be held per customer per facility. The input screens on site needed to be simple with limited choices and driven by access rights for each zone a PC was located in so that engineers couldn’t male mistakes when logging their hours.

The Solution
We designed a rules based database where all job roles types and tasks could be set up per facilities managed site and where every job rather than employee could have pre-defined rates placed against them. Each job has a code which is given to the supervisor and workers for the specific area they are working in. This could be as complex or as simple as the customer required. We then created a simple time sheet entry program where employees just keyed in their hours by using the job code given to them and the system would automatically calculate the charging rate against hours worked for the job code – this code could also be universally used in other facilities. All billing information is then uploaded and integrated with a financial system for invoicing to the client once a month.
